Introduction

GATEKEEPER/POLE-VAULT RFID YARD MANAGEMENT is a inventory management solution designed to automatically track assets as they pass through RFID (Radio Frequency Identification) enabled gates and or mobile devices.

5            Adjustment ScreenArea

a.         EachSubAreashowsalistofknowntagsmeetingthebasiccriteriaofthedisplay

i.         NotReceived–Theseatgshavebeenrecordedinthedatabasewitha partnumber,buthavenotbeenenteredintoinventoryyet.

ii.          InInventory–Thesetagshaveapartnumber,andthetagstatusplaces themwithinawarehouse,oroutonatruck

iii.          TheseTagshavebeenregisteredtoaworkorderorservicelocation.

b.         Theadjustmentsmadetotagsinthisareadonotfeedbackthroughtheweb servicestothehost,butonlychangetheknownstatusofthetagintheRFID system.

 

Launching the GATEKEEPER Dashboard

Afterasuccessfulinstallation,userscanfindtheGATEKEEPERDashboardshortcutonthePCworkstation Desktop. Launch the application by double clicking on theshortcut.

 

Upon Startup, GATEKEEPER Dashboard will launch.

GATEKEEPER Dashboard Overview:

GATEKEEPER Dashboard Header Functions

Theheadercontainsthegeneralactionsoftheapplicatonandsetup.Mostofthesefunctionsarestatic andonlysetontime,or,modifiedtofilterbycriteria

 

TheGATEKEEPERReviewisthedefaultscreenandprovidestheRFIDDynamicSnapshotofthecurrentdispositionofmovingtags/assetsatthecurrentview.

Tag Importis used to assign RFID Tags to Assets and will be discussed later in this document.

 

TimerOff/OnishowtheGATEKEEPERDashboardreloadsanddisplaysreal-timedata.Byturningthe TimerON,theGATEKEEPERDashboardwillautomaticallyrefreshevery30seconds.Thereisanaudible5secondtonetoalerttheuserthatthescreenisabouttoreload.Todisablethisfunction,theusercan simply click the “Off” button. The default setting is“ON”.

Barcode User is used for tracking and assignment IF GATEKEEPER is integrated with Host ERP.

 

ReloadisusediftheTimeristurnedOFF.Theusercanmanuallyrefreshthescreenatuserpreference. IftheTimerissettoON,theusercanstillmanuallyoverridethetimerandreloadthesreen.

ClearConfigisonlyusedforsetup.IftheGATEKEEPERSQLDatabaseismovedorchangeddirectoryon thenetwork,theClearConfigButtoncanbeusedtore-setorre-assignthesettingsandsetup.

AdjustmentsisusedtomodifyorchangethedispositionofaTAG/ITEM.Thiswouldincludemodifying thesource/destinationwarehouse,CurrentlocationStatus(IN/OUTofinventory)

Warehouse is used to filter the GATEKEEPER Dashboard Location View.

 

GATEKEEPER Dashboard Main Body

The GATEKEEPER Dashboard has three main Activity Sections:

 

1.           ReceivedTags

2.           TransferredTags

3.           Out of InventoryTags

 

Each of these  sectios or categories is an active and dynamic of RFIDTags/AssetsastheymoveINand OUT of locations in the customer environment. Each section shows RFID Tag/Asset information including:

o  Date/Time

o  RIFD TadID

o  PARTNo.

o  Description

o  PurchaseOrder

o  Release

o  SourceWarehouse

o  DestinationWarehouse

o  SerialNumber

o  WorkOrder

o  AccountNumber

o  ActivityNumber

o  Employee

 

Received Tags

TheReceivedSectiondisplaystags/assetsthateitherhaveorneedtobereceivedintoinventory.This featurecanbeenabledtoreceiveautomatically(requiresassetvendorsupportandERPintegration)or manually.Asatag/assettrackingsolution,GATEKEEPERsetsaSTATUStoeachtag/asset.Thefirststep of the process is to mark the tag/asset as Received into inventory and give it a Source Warehouse location

Receive Automatically

GATEKEEPERcan,withvendorsupportandERPIntegration,receivetags/assetsintoinventory.When newtagsenterforthefirsttimeandreadbytheRFIDReaders,withvendorsupportandEDIfiletransfer,

 

GATEKEEPERcanvalidateatagEPCnumbertocustomerPart/ItemNumberanddiscriminatelocation information.IftaginformationisvalidatedbyGATEKEEPER,thetag/assetisreceivedintoinventoryand recordedwithsourcelocationinformation.Oncethereceiveprocessiscomplete,thetagcannowbe readasitleaves,entersorre-enterslocations.

The Auto Receive function can only be used with Asset Vendor support. This feature requires a specific

.csv file format proved by Vendor with the following information provided:

 

o  TagEPC

o  Customer Part/ItemNumber

o  PurchaseOrder

o  Destination WarehouseNumber

o  Purchase Order LineNumber

IfthereisnoERPIntegrationasdescribedabove,thenallnewtagsreadbytheRFIDReaderswillbe displayedintheRECEIVEsectionofGATEKEEPERDashboard.Thesetagswillrequirehandlinginordertoassignandproperlylocatethetag/assettoitssourcewarehouse/location.

Transferred tags/assets

TheTransferredCategoryisusedtomoveorre-locatetags/assetsthattheGATEKEEPERreadershave readandthetag/assetstatushaschangedfromSourceWarehousetoDestinationWarehouse.

Asthetags/assetsleavethesourcewarehouseandeventuallyarereadbyadestinationwarehouse (different),GATEKEEPERDashboardwilldisplaythetag/assetintheTransferredcategory.Thisisa DYNAMICstatusandcan/willchangeasthetagmovestoaNEWDestinationWarehouseORre-enters theSOURCEwarehouse.Thestatuswillautomaticallychangeanddynamicallybedisplayedinthe GATEKEEPERDashboardUNTILauserClicksonthePROCESSorDELETEButton

Process Button

UserscanusetheGATEKEEPERDashboardto“PROCESS”atransfertransactiontochangethestatusor warehouse/location of thetag/asset.

 

Userscanusetheworkstationmousetohighlight/selecttag(s)/asset(s)inthedisplay.Theusercanuse theCTLbuttontoselectmultipleorsingletag/assetinsequenceinthedisplayorselectivetag/asset.

 

Oncethetag(s)/asset(s)areselected,theusercanthenpressthePROCESSbuttontochangethe tag/assetlocationstatus(sourceordestination).Oncethesourcelocationhasbeenprocessedand transferred,theSOURCElocationforthattag(s)/asset(s)willmaintainuntiluserprocessesanother transfer.

 

Delete Button

Ifusersrecognizethatatag/assetintheTransferredCategoryisamistake,GATEKEEPERDashboardwill allowtheusertoDELETEtherecord.

ByDELETINGtherecord,themodifiedstatusofchangingthesourcelocationwillberemoved.Inother words,thetag/assetstatuswillbereturnedtotheoriginalSOURCELocation.

 

 


Out of Inventory

 

Outofinventorystatusmeansthatthetag(s)/asset(s)hasbeenreadbytheSOURCELocationRFID Readers and have left the facility. Once the tag(s)/asset(s) have left the SOURCE Warehouse, GATEKEEPERDashboardwilldisplaythesetag(s)/asset(s)dynamically.

Thetag/assetwillremainintheOutofInventoryStatusanddisplayedintheOutofInventorycategory UNITLthetag/assetentersaDESTINATIONWarehouseOR,auserhaschargedthetag/assettoeithera workorder,job,projectoraccount(DependingonERPIntegration)

Tag/Asset Charge

Onceatag/assetchangesstatustoOutofInventory,theusercanCHARGE/EXPENSEthetag/assetto either a Work Order, Job, Project, or Account. This designation is dependent on the level of ERP Integration.

Without any ERP Integration, this information can be queried in the GATEKEEPER RFID SQL Database.

 

Process

To Charge/Expense a tag/asset, the user can highlight or select the tag/asset in the GATEKEEPER DashboardOutofInventorycategoryandenterthechargeorexpensedefinitionandthenpressProcess. Userscanselectasinglelineormultiplelinestoprocess

 

 

 

 

Delete

Todeletearecordandchangethetag/assetstatusbacktoInInventoryandintheoriginalSOURCE Location,theusercanselectasingleormultiplelinesintheGATEKEEPERDashboardOutofInventory categorydatagridandpresstheDeletebutton.

 

GATEKEEPER ASSIGN TAGS

GATEKEEPERRFIDprovidesamanualfunctioninordertoassignRFIDTagstoAssets,PartNumbersor Itemnumbers.

ToaccesstheGATEKEEPERASSIGNTAGFunction,clickontheTAGIMPORTTabatthetopleftofthe GATEKEEPERDashboard

 

 

 

 

 

This tab allows the customer to connect to a mobile RFID Reader (generally a RFID enabled mobile computerusedforPOLE-Vault).TheconnectionismadeviathedeviceIPAddress.Onceconnected,the usercanusetheTAGIMPORTfunctiontoenteraPartNumber/ItemNumber,ReadapresentedRFID Tag(s)toassignthereadRFIDTagEPCNumber,printalabelwiththehumanreadableEPCandItem/Part NumbertolabeltheRFIDTag.ThistagwillthenbesecuredtotheASSETandtheRFIDTAGEPCnumber willnowbeassignedtotheAssetforitsuselifeORitisdisassociatedmanually.

 

Tag Import Screen

This screen has three user use/interface.

 

The first is the Entry Boxes that require user text entry:

 

•     IPAddress

•     Warehouse

 

•     PartNumber

The Second is the automatically displayed from validation data:

 

•     ReaderEPC

•     Barcode PrinterName

 

The third is the EPC Display data box.

 

AstheRFIDReaderreadsRFIDTagstoassigntoAssets,itwilldisplayinthisboxtheREADTagEPC Numbers.Thiswillbethecompletelistoftagscurrentlybeingreadandassigned.Thiscanbesingle (one at a time) orMultiple.

Oncethetag(s)havebeenassignedtoASSETS(PartNumber/ItemNumber)theywillberecorded andmaintainedintheGATEKEEPERSQLDatabaseuntilchangedmanuallybytheuser.

 

 

GATEKEEPER RFID Hardware Maintenance

Fromtimetotime,GATEKEEPERRFIDUsersmaywanttomonitorandconfirmthatspecificorRFIDFixed ReadersareconnectedtothecustomerLocalAreaNetwork(LAN)andreadingtags.

TomonitorifanRFIDFixedReaderisconnectedtothenetwork,authorizeduserscanverifyconnection by twomethods:

Ping RFID Fixed Reader IP Address

IfusersareconnectedtothesameLANastheRFIDFixedReaders,userscanperformasimpleIPAddress Ping.ThiswillconfirmthattheReaderisconnectedtotheLAN.

Browser Interface Connection

Iftheuserwishestoverifyconnectivityandperformtests,ordosimpletagreads,theusercanconnect totheRFIDFixedReaderBrowserGUIInterface.

Openabrowser(IE,Chrome,Firefox,EDGEetc)andentertheRFIDFixedReaderIPAddress.Besureto usetheSecureIPPrefix(https://xxx.xxx.xxx.xxx)

The default RFID Fixed Reader user credentials are: User: admin

Addendum I.  7-24-2018

GATEKEEPER RFID Dashboard Kits and Assembly Unit Management and Pole-Vault RFID Display.

The following functionality was added July, 2018 for the purpose of creating, managing and displaying “KIT” or Assembly Assets.  These are component assets that contain two or more material items to complete a Kit.  The following is the functional documentation

 

Main Dashboard Additional Options

From the GATEKEEPER Main Dashboard User Interface, the users will now see two additional tab optioins.

·      Pole-Vault Display 

·      Kit Administration

 

Pole-Vault Display provides the user with an interface to View and Manage Assets that have been scanned using the PoleVault RFID Handheld program.  POLE-Vault provides the organization the functionality to complete CYCLE Counts or Full Physical inventory of Assets using the Zebra MC3090 Mobile Handheld Device.  

 

The POLE-Vault Mobile Device program works directly with the POLE-Vault Display interface in the GATEKEEPER RFID Dashboard as well as the back-end Database.  It is used to reconcile the material inventory for RFID Tags that have either been “missed” by the Fixed RFID Readers or performing counts to provide real-time material inventory counts to the user.

POLE-Vault Display User Interface

 

The POLE-Vault Display UI is contained in a tab on the GATEKEEPER RFID Dashboard.  It can be accessed by simply clicking on the POLE-Vault Display Tab.

The POLE-Vault Interface Screen contains three screen tabs:

 

·      Scanned items

·      Problem Items

·      Inventory Result

 

Scanned Items

 

Scanned Items are all the items that have been scanned with the POLE-Vault Mobile RFID Device and posted to the GK/PV Back-End Database (Described later).  Once the items have been scanned and posted to the database, the scanned items will be displayed on this tab screen.  This is a non-summed listing of ALL items scanned.

 

Problem items

 

The Problem Item tab screen displays all items that have some relative error or incorrect data assigned to an Asset. This could be the warehouse assignment is incorrect, the RFID Tag doesn’t contain a validated description etc.

 

Inventory Result

 

The Inventory Result Tab Screen displays the calculated TOTAL of all like PN’s in the specific count.  So item number (part numbers) are displayed as a calculated total.

 

Other POLE-Vault Functions

 

·      Delete Inventory

·      Select Warehouse

·      Refresh

 

 

There are a few other functions on the POLE-Vault UI Screen.

 

Delete Inventory

 

This button is used to delete the current count from the RFID Mobile Device.  This button and action will delete all records in the current inventory.

 

Select Warehouse

 

The user will use this drop-down list to select and FILTER the results by specific warehouse or ALL warehouses

 

Refresh

 

Since the data is only active from the last refresh, the user can use this button to refresh the display to reflect the very last POLE-Vault Mobile Device Count display

 

 

 

 

 

POLE-Vault RFID Mobile Device Function

 

POLE-Vault uses a RFID Mobile Handheld Device (commonly the Zebra MC9090Z) to count RFID Assets in the yard. This function has two functions.

 

·      Cycle Count/Physical inventory

·      Material Inventory RFID Reconciliation

 

The Cycle Count or Physical Inventory

 

This function provide an Inventory count or snapshot to match against the ERP data at a specific point in time (Function only allowed with ERP integration).  It will also provide a snapshot of Inventory counts by PN in the database with date and time for users without ERP Integration to export from the database and compare.

 

Material Inventory RFID Reconciliation

 

This function allows customers to scan the RFID Asset and reconcile counts with the GK/PV Database.  In the event the GK Fixed RFID Readers “missed” an asset at the Gate, POLE-Vault is designed to catch that error.

The GATEKEEPER RFID Kit Administration is designed to provide a means for customers who build “KITS” or Assembly Units that contain two or more unique part numbers to make up the KIT. This function in GATEKEEPER allows users to administer the KIT functionality.

The Item Setup Tab allows users to setup and manage the KIT.  Users can search the Kit PN List to highlight.  The search can be either by Stock Number OR Description.  Once selected, a KIT Stock Number can be edited.

 

This screen also allows the user to Add and Insert a net KIT Stock Number.

 

Kit Definitions

 

The KIT Definitions tab allows the user to search for an existing KIT Stock Number.  Once the KIT Stock Number has been selected, the user can then add item(s) to the KIT Assembly.  Furthermore, the user can set the quantity of the items to be added.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

Kit Setup

 

The Kit Setup Tab allows users to create and manage the KIT Stock Number
